One bid, one document set
The program required a single set of documents covering every unit in the shipment, with no gaps between the machine list and the packing list. Separate supplier packs would have created reconciliation work at the receiving end.
The document set was therefore built around a single machine list, with all other documents referencing it: packing list, loading plan, and parts kits.
List each machine with its parts kit
Each tractor was assigned a unique number on the list, and its corresponding parts kit carried the same reference. Trailers were listed with their own reference and matched to the tractor that would pull them.
This structure also simplified inspections: photographs were filed by machine reference, allowing reviewers to check individual units without searching through the entire shipment.
Handover upon arrival
The receiving team can unpack against the same list and confirm each unit and its kit without opening every crate to identify contents.
For programs requiring staged delivery, the same structure is applied to each shipment, ensuring every stage remains independently traceable.
